Noema Studio is a virtual practice operated by Michelle Malbeuf, Psychedelic Integration Practitioner, based in Vancouver, British Columbia and serving clients across Canada. This Privacy Policy explains what personal information we collect, how we use it, and how we protect it. By using our website or engaging our services, you consent to the practices described here.

What Information We Collect

We collect personal information in the following ways:

  • Through our contact and inquiry forms: your name, email address, and any information you choose to share in your message.

  • Through our intake process: health history, mental health background, medication use, psychedelic history, and other information relevant to assessing whether this work is appropriate for you. This information is collected and stored within Practice Better, our practice management platform.

  • Through our website: anonymized usage data including pages visited, time on site, and traffic sources, collected through Google Analytics. This data does not identify you personally.

  • Through scheduling and payment: appointment details and payment processing are handled through Practice Better, which connects to Stripe for secure payment processing. We do not store your payment information directly.

How We Use Your Information

  • We use the information we collect to assess suitability for our services, conduct intake screening, deliver preparation and integration sessions, communicate with you between sessions, process payments, and improve our website and practice.

  • We do not sell, rent, or share your personal information with third parties for marketing purposes. We do not use your information to make automated decisions about you.

Third-Party Services

We use the following third-party platforms in the operation of this practice:

  • Practice Better: our practice management system, used for intake forms, session notes, client records, scheduling, and payment processing. Practice Better stores data on servers located in Canada and the United States and operates in compliance with applicable privacy laws. Their privacy policy is available at practicebetter.io.

  • Stripe: payment processing, accessed through Practice Better. Stripe is PCI-DSS compliant. Their privacy policy is available at stripe.com.

  • Google Analytics: anonymized website analytics. Google may store this data on servers outside Canada. You can opt out of Google Analytics tracking by installing the Google Analytics opt-out browser add-on.

  • Squarespace: our website hosting platform. Squarespace may collect technical data related to site visits. Their privacy policy is available at squarespace.com.

Your Rights Under Canadian Privacy Law

  • Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to access the personal information we hold about you, request corrections to inaccurate information, withdraw your consent to its use (subject to legal and contractual obligations), and ask questions about how your information is being handled.

  • To exercise any of these rights, contact Michelle Malbeuf directly at michelle@noemastudio.ca. We will respond to requests within 30 days.

Data Retention

  • Client records, including intake forms and session notes, are retained for a minimum of seven years following the end of the therapeutic relationship, in accordance with applicable professional standards. Contact and inquiry information is retained only as long as necessary to respond to your inquiry or fulfill an active client relationship.

Security

  • We take reasonable steps to protect the personal information we hold. Client records are stored within Practice Better, which uses encrypted, access-controlled infrastructure. We use secure communication channels and take care not to transmit sensitive information over unencrypted channels.

  • No method of electronic storage or transmission is completely secure. We cannot guarantee absolute security but are committed to protecting your information to the best of our ability.

Cookies

  • Our website uses cookies to support basic functionality and anonymized analytics through Google Analytics. You can adjust your browser settings to refuse cookies, though this may affect some features of the site.

  • We may update this Privacy Policy from time to time. The effective date at the top of this page reflects the date of the most recent revision. Continued use of our website or services following an update constitutes acceptance of the revised policy.
